What it does
An angry message makes people write one of two bad replies. The cold one ("We apologise for any inconvenience") makes the customer angrier. The over-generous one promises a refund or a timeline the business cannot keep, and the second complaint is worse than the first. This prompt reads for the one problem and the one fear under the anger. It opens with a sentence that proves you read the message, states what happened in plain facts without blaming anyone, makes the fix you told it you can make with its real timing, and asks the customer for at most one thing. Every amount, policy and date comes from your list, never from the AI. You also get a version under 80 words for a public review and a list of lines not to say.
You give it
- The customer's message as written and the channel
- What you can do, with limits and timings
- The order facts with dates (advised)
- How your business talks to customers (optional)
- Brand brain (optional)
