Hire an AI legal intake summary writer

Give it your notes from the call, chat or web form, with names removed or changed if your firm has not approved this AI tool. You get a one-page attorney summary with matter, key facts, parties and documents.

What you give

  • Your notes from the call, chat or web form, with names removed or changed if your firm has not approved this AI tool
  • Your practice areas, the places you cover and the fee types you offer
  • The attorney's name and the consultation date, if one is booked (optional)

What you get

  • Urgency flags at the top, such as court dates or deadlines the person mentioned
  • A list of names and companies to run through your conflicts system
  • A list of gaps and questions for the attorney or for a follow-up call

An example

Your phone, chat or web form brings in new matters, and the notes are messy.

You ask: “Give it your notes from the call, chat or web form, with names removed or changed if your firm has not approved this AI tool. Use the material I attach and ask for anything essential that is missing.”

You get back:

  • Urgent flags. Court dates, deadlines and safety concerns the person mentioned, shown first.
  • Intake summary. Matter, key facts, parties, documents, goals and fees, in a one-page brief for the attorney.
  • Conflicts list. Every person and company to run through your conflicts system, marked pending.

An example, not your task.

Details

Everything it can hand back

Your task sets the actual outputs. The specialist picks the methods that cover them.

  • A one-page attorney summary with matter, key facts, parties and documents
  • Urgency flags at the top, such as court dates or deadlines the person mentioned
  • A list of names and companies to run through your conflicts system
  • A list of gaps and questions for the attorney or for a follow-up call
  • A kind message for a person you must refer elsewhere, or a confirmation message for a booked consult (on request)

How it does the job well

  • No legal advice. Never say whether the person has a case, what the law says, what they should do, or what they might win. Send those questions to the attorney.
  • Deadlines. Flag possible deadlines in the person's own words. Do not state a limitation period as fact. Say "possible deadline, attorney to confirm for this place and matter". The profile's reference table is a general guide and may be wrong for the place.
  • Conflicts. The check is never complete until the firm's system and an attorney or intake lead say so.
  • Confidential. Everything shared at intake is confidential, even if the person is not taken on.
  • Consistent and kind. Treat every person the same, whatever the size or ability to pay. Lead with empathy, then process.
  • Never provide legal advice. You are an intake specialist, not an attorney. Never tell a prospect whether they have a case, what the law says, or what they should do. Always defer legal questions to the consulting attorney.
  • Statute of limitations awareness is critical. If a prospect describes a matter that may have a time-sensitive deadline — personal injury, employment claims, contract disputes — flag it immediately and expedite the intake process. A missed statute of limitations is a malpractice claim.

Mistakes it avoids

  • Long lists of generic issues with no evidence they apply.
  • Testing or scanning systems without permission.
  • Presenting a legal opinion as final.

What a good result looks like

An example, not your task: Your phone, chat or web form brings in new matters, and the notes are messy.

  • Questions for the attorney. Gaps in the facts and points to ask in the consultation.
  • Next step. One proposed action with an owner, such as book the consult or send a referral message.
  • Referral or confirmation message. A kind note that refers the person elsewhere, or confirms the booked consultation (on request).

How the work is checked

  • Each finding has a location, evidence, severity and a specific fix.
  • Likely false positives are checked and removed.
  • Items that need a lawyer or auditor are clearly marked.
  • States which checks passed, failed or could not run, and names missing inputs.

These checks have not been run against a model yet. Your AI uses them to check its own work.

Capabilities

  • Check the setup. It asks once for your practice areas, coverage and fee types. Anything missing is marked MISSING.
  • Screen for urgency. It looks for court dates, deadlines, hearings and safety concerns, and moves them to the top.
  • Qualify the matter. It sorts the matter into a practice area and checks it against what your firm handles.
  • Pull out the parties. It lists the person, any other side, other parties and prior ties to the firm, for your conflicts check.
  • Write the summary. It fills the attorney brief from the notes, in the person's own words, and lists open questions.
  • Set next steps. It proposes one clear next step, such as booking, a referral message or a call back. A person confirms it.

How the role works

  1. Checks your task, context and available tools.
  2. Picks the methods needed and prepares a work plan.
  3. Carries out supported tasks, with each method's limits and review gates.
  4. Checks the real deliverables and corrects supported faults.
  5. Hands back files, evidence and unresolved gaps.

Inputs and helpful context

The specialist starts from the task brief. Only active methods require their inputs.

For the primary method, when used

  • Your notes from the call, chat or web form, with names removed or changed if your firm has not approved this AI tool
  • Your practice areas, the places you cover and the fee types you offer
  • The attorney's name and the consultation date, if one is booked (optional)
  • The matter type, if you already know it (optional)

Helpful context (optional)

  • Your firm's intake form, so the summary uses the same headings your attorneys already read.
  • Your list of partner firms for referrals, so the referral message names real options.

Tools and access

  • Claude, ChatGPT or Gemini, in an account your firm has approved: Intake notes hold private facts, so use a tool whose data terms your firm has checked.

Functions and deliverables

  • Legal intake summary writer: Turn your intake call notes into an attorney-ready summary with urgency flags, names to run through your conflicts check and open questions.

    • A list of gaps and questions for the attorney or for a follow-up call
    • A kind message for a person you must refer elsewhere, or a confirmation message for a booked consult (on request)

    • Every name, link and book mentioned, in a list
    • One call to action, and a list of what it could not check
  • Contract summary writer: Give it a reviewed contract. Get a two-minute summary of what to know before signing. A first check, not legal advice.

    • Problems listed first
    • Key dates, costs and duties

    • Summary led by the answer
    • Findings with numbers
    • Recommendations with owner and date

  • me.md builder: Answer a few questions, or let your AI use what it remembers. Get one private file that tells any AI who you are.
    • One me.md file with up to ten dated sections
    • A list of facts taken from memory, for you to check
    • A short note of what it removed for privacy
    • The two next steps, to save it and set it up

Tasks you can use it for

  • Your phone, chat or web form brings in new matters, and the notes are messy.
  • An attorney asks for a one-page brief before each first consultation.
  • You are writing intake questions for a new practice area and want a ready list.
  • A matter is outside your practice area, and you need a kind message that points the person elsewhere.

Limits to check before starting

  • You need the conflicts check itself. Run it in your firm's conflicts system. The attorney or intake lead clears it, not this agent.
  • You want a review of a contract or court paper. Use the Legal document reviewer or the Contract risk reviewer.
  • You want to bill or log time. Use the Legal billing reviewer.

Best way to use this role

Give it one clear outcome, the actual files and a definition of done. Keep the work in one AI project so it can reuse checked context and earlier files.

  • Check your firm's rules first. Client details are confidential. Remove names, numbers and addresses unless your firm has approved this AI tool for client information.
  • Add the pack as a skill, or paste SKILL.md and then references/source-agent.md into a new chat.
  • Paste your call notes and your practice areas. Say what you want, such as "Write the attorney summary and the conflicts list."
  • Read the urgency flags first. Pass anything time-sensitive to the attorney now, not after you tidy the summary.
  • Run the conflicts list through your own system. Update the status yourself after the attorney or intake lead clears it.
  • Send the summary to the attorney before the consultation. Fill any gaps with the person on a follow-up call.
