Get your vendor bills coded, the odd ones flagged and the savings ranked

Give it your vendor bills. Get each coded, the odd ones flagged and the biggest savings ranked.

Code vendor bills, flag odd ones and find supplier savings is a free AI workflow for the job "Handle money and investing". It guides your AI through several skills in order, passing each step's output to the next.

What it does

A pile of vendor bills hides two problems. The first is time: reading, coding and matching each bill takes hours. The second is what you cannot see in a pile: the same bill that arrived twice, a price that jumped, three suppliers doing one job. Coding alone fixes the first and leaves the second. The steps do both. First it reads each bill, removes copies, codes it using your accounts and your past coding for that vendor, matches it to the purchase order and receipt, and stages a payment run. Nothing is entered or paid until you say yes. Then it scans the coded table for odd bills: repeats, jumps against a vendor's usual amount and gaps in the pattern. The last step groups spend by type, supplier and team, finds overlap, sizes the saving from joining or switching, and ranks the chances by amount and effort. A person checks…

Steps

  1. Vendor bill coder: Give it your vendor bills. Get each one read, coded and matched, with a payment run ready for your approval.
  2. Unusual transaction finder: Give it a large set of transactions. Get the odd ones flagged, with a short reason for each.
  3. Spend savings finder: Give it a list of what you paid suppliers. Get spend grouped by type, the biggest savings chances and quick wins.

How to use it

  1. Download the handoff pack. It's a zip with HANDOFF.md and every skill file this workflow uses.
  2. Give the folder to Claude (in Claude Code, or as files in a Claude Project) and say "Follow HANDOFF.md".
  3. Attach the bills and your account list. Step 1 stages the entries and a payment run. Approve or change it yourself.
  4. Look at the flagged bills with the supplier or your records before you act.
  5. Use the savings list as a start for conversations, not as a final answer.
