Hire an AI customer support specialist

Sort support tickets, write and check replies, then turn confirmed fixes into help-page drafts.

What you give

  • The open tickets, pasted as they came in, with dates
  • How you want to sound, or two replies you were happy with

What you get

  • Every ticket classified, ranked and routed, with a first line
  • A full reply per ticket, checked for promises, facts and tone, ready for you to send
  • A help page for each solved problem

An example

You have more than thirty open tickets and no idea which to answer first.

You ask: “Work through the supplied support tickets. Check the policy and order facts, draft useful replies, identify escalations and prepare help-page updates.”

You get back:

  • Sorted tickets. Every ticket given a category, a priority from P1 to P4, a person to route it to and a first line.
  • Replies. A full reply per ticket in your voice, with what to check in your systems before sending.
  • Checked replies. Each promise, fact and line of tone checked, with a repaired reply where one failed.

An example, not your task.

Skills and workflows for this job: Help your customers

Details

Everything it can hand back

Your task sets the actual outputs. The specialist picks the methods that cover them.

  • Every ticket classified, ranked and routed, with a first line
  • A full reply per ticket, checked for promises, facts and tone, ready for you to send
  • A help page for each solved problem

How it does the job well

  • Sort tickets by urgency and impact first: safety, money and access issues go to the top.
  • Check the order, account and current policy before writing a reply.
  • Give the answer, the next step and when the customer will hear back.
  • Group repeated issues and turn confirmed fixes into help-page drafts.
  • Escalate when policy does not cover the case, and say so to the customer.
  • Check the current policy and the customer's order or account facts before replying.
  • Answer the actual question in the first two lines, then explain.

Mistakes it avoids

  • Promising refunds or delivery dates the facts do not support.
  • Blaming the customer or another team.
  • Changing account or order records without approval.
  • Promising refunds, dates or fixes the policy does not allow.
  • Copy-paste replies that ignore what the customer said.
  • Closing a ticket without a clear next step.

What a good result looks like

An example, not your task: You have more than thirty open tickets and no idea which to answer first.

  • Help pages. One page per solved problem with steps, what the customer should see and what to do if it fails.
  • HAND-BACK SUMMARY. Each step's file, any step not run and why, and every MISSING line in one list.

How the work is checked

  • Each reply is checked for promises, facts and tone.
  • Escalations name the reason, the owner and the evidence.
  • Help-page drafts match the current policy wording.
  • Each step passed its own checks, or the run stopped at the step that failed and says why.
  • States which checks passed, failed or could not run, and names missing inputs.

These checks have not been run against a model yet. Your AI uses them to check its own work.

Capabilities

  • Sort and rank the tickets. Classifies every ticket, ranks it by the harm of a slow reply, routes it and writes a first line.
  • Draft every reply. Writes a full reply per ticket in your voice, with what to check in your systems before sending.
  • Check promises and tone. Checks each promise against what you can do, each fact against the ticket and each line for tone, and repairs what fails.
  • Send what you approve. A pause. Read the replies and send the ones you approve. Mark which tickets are now solved.
  • Write the help pages. Turns each solved problem into a help page with steps, what the customer should see and what to do if it fails.

How the role works

  1. Checks your task, context and available tools.
  2. Picks the methods needed and prepares a work plan.
  3. Carries out supported tasks, with each method's limits and review gates.
  4. Checks the real deliverables and corrects supported faults.
  5. Hands back files, evidence and unresolved gaps.

Your specialist's working setup

Download the base specialist without a task form or account. README.md and SETUP.md explain how to use the folder. SOUL.md defines its scope. INTAKE.md asks missing questions inside your AI. PLAYBOOK.md, SKILLS.md, BEST_PRACTICES.md, CHECKS.md and HANDOFF.md guide the work and its checked deliverables.

Complete associated skills, supporting files and licences are included. Choose only the methods needed for the actual task. Keep context, working files and accepted feedback in your AI project.

Use this specialist through MCP or the API

Call prepare_specialist with role_id customer-support-specialist only. No task is required to load it. Your AI asks what job you need done, what you want back and which relevant context it can use.

For task-led hiring, call find_specialist, explain the suggested specialists and let the user accept or change the team.

Inputs and helpful context

The specialist starts from the task brief. Only active methods require their inputs.

For the primary method, when used

  • The open tickets, pasted as they came in, with dates
  • How you want to sound, or two replies you were happy with
  • What you can and cannot offer (refunds, replacements, discounts)
  • Who handles orders, and medical or legal questions (optional)
  • Reviews or complaints that give the full customer story (optional)

Helpful context (optional)

  • Order and subscription data for the tickets in question
  • Your current help pages, so new ones match
  • Past replies that went well or badly

Tools and access

  • Redacted tickets and current support policies
  • Helpdesk access only when you choose to connect it
  • Any good chat AI: Sorting, drafting and checking are all text.
  • Your help desk: Holds the tickets and lets you send the approved replies.
  • Claude, ChatGPT or Gemini: Any chat AI can draft the reply. A stronger model gives a better cause and spots when a ticket has too little to go on.
  • Your helpdesk, such as Zendesk, Freshdesk or Intercom: The AI cannot read it. Copy the ticket thread in, and send the final reply from there.
  • Claude Code: It can keep the inbox folder and read the log. You start each run yourself, each weekday morning. It does not run on a timer.
  • Shopify: Lets order replies use real order status. It needs a connection to your store account and may need a paid plan. Without it, paste the order details. Refunds still wait for your yes.
  • Any good chat AI that reads files, such as Claude, ChatGPT or Gemini: It needs your tiers, promises and cases in one run.
  • Claude Code: It can keep the topic and article files between months and read the help centre export directly.
  • Your support tool: Export tickets with the solving reply and the first help page visited.

Tasks you can use it for

  • You have more than thirty open tickets and no idea which to answer first.
  • The same five questions make up half your inbox.
  • You are about to hand support to someone new and want answers written down.

Limits to check before starting

  • You get only a few tickets a week: answer them by hand, or paste one reply into the Customer reply promise checker.
  • You want to answer public reviews: use the workflow Customer review reply and request planner.
  • You only need one angry reply checked: use the Customer reply promise checker.

Best way to use this role

Give it one clear outcome, the actual files and a definition of done. Keep the work in one AI project so it can reuse checked context and earlier files.

  • Download the handoff pack. It's a zip with HANDOFF.md and every skill file this workflow uses.
  • Give the folder to Claude (in Claude Code, or as files in a Claude Project) and say "Follow HANDOFF.md".
  • Paste the tickets and what you can offer. It sorts them and drafts and checks a reply for each.
  • Read the replies, change any you want, and send the ones you approve. Mark which are solved.
  • Say which tickets are solved. It writes a help page for each problem.
