What it does
Most update emails are written from the company's side. "We're excited to announce our new dashboard" tells the reader nothing about their day. They skim, they delete, and the next one gets opened less. The facts were fine. The framing was the problem. This prompt follows the way Ann Handley talks about writing for one reader in public. It finds the reader's gain and puts it first, keeps one point per email, writes a subject line the first line has to prove, and deletes any sentence that could appear in another company's newsletter unchanged. Every date, price and name stays exactly as you gave it. If the update has no gain for the reader, it says so and writes the honest version instead of a hyped one.
You give it
- The draft email, or the facts of the update
- Who reads it and what they care about (advised)
- Two or three lines you have sent before, so it sounds like you (optional)
- Brand brain (optional)
You get
- The reader's gain in one line
- A subject line and the rewritten email
- The generic lines that were cut, so you can see the difference
- Missing facts marked
Use it when
- You have a product change, a price change or a schedule change to tell customers about.
- Your team newsletter gets opened by half the people it used to.
- You wrote the update in five minutes and it reads like a legal notice.
How to use it
- Copy the prompt, then paste it into Claude, ChatGPT or Gemini with your update under it.
- Say who reads it, such as customers, subscribers or your team.
- Read the READER'S GAIN line first. If it is wrong, tell the AI what the real gain is and run it again.
- Check every date and price against your source, then send.
