What it does
Urgent jobs push on you, so they win. A message, a call or a request from someone else gets answered first. The important work, such as planning, health or building a relationship, has no deadline, so it waits. Months later you are busy and behind on the things you care about. This skill asks what important means to you, then sorts each item with two questions: is it important, and is it urgent? It counts the hours in each box, traces each crisis back to the work that would have prevented it, and finds where time for the important work can come from. That time can only come from the urgent but unimportant jobs and from escape, so it marks each as drop, hand off, batch or shrink, and writes the first two refusals.
You give it
- Your task list or last week's calendar, with rough hours per item
- What matters to you, as roles, goals or values (optional but helps)
- Anything you should do but never get to (optional)
- Plan (optional)
You get
- Each item in one of four boxes, with hours
- The share of your hours in each box, and what the pattern says
- Each crisis traced back to the work that would have prevented it
- A move for each low-value item, two polite refusals and a brief for planning the week
Use it when
- Your day is full of small jobs and the big one never gets started.
- You feel busy and behind and cannot say why.
- You are about to plan the week and want to know what to clear first.
